The Job
   
As a Program Support Officer, you will provide high-quality administrative and program support services to ensure the successful delivery of key programs and initiatives. Working closely with internal teams and stakeholders, you will play a critical role in maintaining accurate information, coordinating activities, and supporting operational efficiency.
  
Key responsibilities include:  
  • Providing comprehensive program and administrative support, including data entry, application processing, correspondence preparation, document formatting, and records management.
  • Supporting financial administration activities, including payment processing and maintaining accurate financial records.
  • Updating websites and online information to ensure accuracy and accessibility.
  • Managing incoming correspondence, enquiries, and requests in a timely and professional manner.
  • Maintaining accurate program information, reporting, and documentation in accordance with organisational requirements.
  • Coordinating meetings, workshops, committees, and forums, including scheduling, venue bookings, travel arrangements, agenda preparation, minute taking, and distribution of materials.
  • Building productive relationships with internal stakeholders and customers to facilitate communication and information sharing.
  • Supporting geographically dispersed teams and stakeholders in a high-volume environment.
  • Contributing to the continuous improvement of systems, processes, and administrative practices.

You
   
To be successful in this role, you will have:  
  • Experience in a program support, project coordination, business support, or administration role.
  • Strong administrative, organisational, and customer service skills.
  • Demonstrated ability to manage competing priorities and work effectively in a high-volume environment.
  • Excellent attention to detail and the ability to maintain accurate records and data.
  • Strong written and verbal communication skills.
  • The ability to build effective working relationships with a broad range of stakeholders.
  • Experience coordinating meetings, workshops, events, or similar activities.
  • Sound financial administration experience.
  • Strong proficiency across Microsoft Office applications and business systems.
  • A professional, adaptable, and proactive approach to work, with the ability to exercise discretion and diplomacy when dealing with sensitive matters.
